Tracking Student Uploads

The Tracking Dashboard

When you use student self-upload, your project page shows a tracking dashboard with:

  • Progress bar: How many students have uploaded out of the total (e.g. "80/120 uploaded").
  • Student table: Each student's name, email, upload status, and available actions.
  • Bulk actions: Send invites or reminders to multiple students at once.

Status Indicators

Each student row shows a status icon:

  • Green circle: All required photos uploaded.
  • Amber circle: Some photos uploaded (e.g. baby photo received, current photo missing).
  • Grey circle: Invite sent but no photos uploaded yet.
  • Empty circle: Invite created but not yet sent.

Sending Reminders

Click "Send Reminders" to email all students who have not yet completed their uploads. The reminder email tells them exactly which photos are still missing and includes their upload link.

You can also send a reminder to an individual student from their row in the table.

Sharing Links Manually

If a student's email is not working (e.g. school spam filters), you can:

  • Copy their individual link using the copy icon on their table row.
  • Copy all links using the button above the table, then paste into Google Classroom, Teams, or any messaging app.

Extending the Deadline

You can change the submission deadline from the tracking dashboard at any time. Students who visit their link will see the updated deadline.

Closing Submissions

When you are happy with the uploads, proceed to review photo pairs and generate the video. Once you start generating, all upload links are automatically closed — students will see a "Submissions closed" message.
